    Quarterly BAS Preparation Checklist

    Quarterly BAS preparation checklist for sole traders and small businesses. Walks through bank feed reconciliation, GST coding review, PAYG withholding verification, PAYG instalment amount or rate check, and lodgement by the deadline. Quarterly BAS is due 28 days after the end of the quarter (except Q2, which is due 28 February). Electronic lodgement through a registered tax agent gets an additional two weeks for most quarters.

    What it contains

    Printable checklist organised into five sections: pre-lodgement reconciliation, GST review, PAYG withholding, PAYG instalments, and final lodgement steps. Each section lists the specific checks to complete, the BAS labels affected, and the source data to verify against. Includes a deadline reference table for all four quarters of FY2025-26.

    How to use it

    Start 7 days before the due date

    Begin BAS preparation at least one week before the lodgement deadline. This gives you time to chase missing invoices, resolve unmatched bank transactions, and correct coding errors without rushing on the due date.

    Reconcile, then review GST codes

    Reconcile all bank feeds in your accounting software first. Then review the GST coding on every transaction for the quarter. Common errors: personal expenses coded as business, GST claimed on GST-free supplies (basic food, medical, education), GST claimed without a valid tax invoice for purchases over AUD 82.50.

    Verify PAYG withholding against payroll

    If you have employees, cross-check the PAYG withholding total on the BAS (labels W1 and W2) against your payroll reports for the quarter. Reconcile to your STP submissions. The BAS amount must match what you actually withheld from employees.

    Lodge and pay by the deadline

    Lodge electronically via myGov, ATO Online Services for Business, or through your registered tax agent (who gets extended deadlines for most quarters). Pay by the same due date. If you cannot pay in full, lodge on time anyway to avoid the late lodgement penalty, then contact the ATO about a payment plan.
